If I have not used Fleet Services before, what do I need to do?

To be able to use a Fleet Services vehicle, you must be an Authorized Driver approved by your agency. In order for this to happen an Authorized Driver Designation (ADD) form must be completed and signed by an authorized supervisor. This form is then sent into Fleet Services and will be entered in our database in 5 – 7 business days.

How do I make a reservation for a fleet car?

You can send a reservation via fax, e-mail, inter- or intranet. These will be completed at the discounted rate, if they are sent in at least 2 ½ hours prior to the departure time of the reservation. If you phone a reservation or send via fax, e-mail, inter- or intranet less than 2 ½ hours prior to your departure time you will incur the full rate for the entire reservation. You will receive confirmation of your reservation via fax within 2 hours of your request.

How do I get gasoline in a fleet vehicle?

All vehicle keys are attached to a green key pouch. In this key pouch is a fuel access card. You must use this card at an approved fuel access site. When you signed up to be an authorized driver a Pin number was assigned to you. You use this number when you are getting fuel. This Pin number is for your use only, and for confidentiality, it can only be given to the assigned driver.

What if I forget my Pin Number?

If you forget your pin number call Fleet Services (302) 739-2277. You will need your driver license number for identification.

How do I report my involvement in an auto accident while driving a state vehicle?

Download and complete the Auto Accident Report Form on the Insurance Coverage Office's website.

How much will it cost to join a van pool?

Each Fleet Link van pool pays the same monthly amount to rent a van. The monthly cost of the van is $525.00. The individuals riding the van divide this amount between the members. For example if there were 10 individuals riding the van each would pay $52.50 to ride for the month. This rental amount includes all gasoline, 24-hour roadside assistance, and the guaranteed ride home program.

How would I get home in the event of an illness or an emergency?

Fleet Link provides a Guaranteed Ride Home Program. This program provides van pool members transportation back to their vehicle in the event of illness, family illness, family emergencies or unscheduled overtime. Please note that the Guaranteed Ride Home Program does not cover scheduled overtime, doctor appointments or early dismissals.

How do I join a van pool?

Call (302) 739-VANS to talk with a Fleet Link staff member. They will help you determine what van pools are operating that meet your needs or advise you on how to start a new van pool.
